Payroll and HR records
We calculate pay, contributions, income tax and the military levy, keep the HR paperwork and file on time. A mistake here costs more than most: both the employee and the state see it immediately.
Payroll is the one area of accounting where a mistake is noticed immediately by two parties: the employee who did not see the expected figure, and the state that did not receive the contribution on time. There is no “we will fix it next month” here.
We take on the whole cycle, from hiring someone through to reporting on what they were paid. We work with companies and with sole traders who employ staff.
What payroll covers
- pay calculated on a salary, hourly or piece-rate basis;
- withholding income tax and the military levy, and charging the social contribution;
- sick pay: average earnings, the employer’s share and the fund’s share;
- holiday pay and compensation for untaken leave on departure;
- indexation, supplements, bonuses and whatever else your scheme provides;
- deductions under enforcement orders and maintenance payments;
- the final settlement on termination, within the statutory deadline;
- payroll sheets and bank payment registers.
The HR paperwork that has to be in order
A labour inspection looks not at the figures but at the documents: is there an order, is the application signed, is anyone keeping the timesheet. We run that whole block – orders for hiring, transfer and dismissal, the staffing schedule, the holiday rota, timesheets, personnel cards, employment contracts and the amendments to them.
Separately, we watch that the paperwork matches reality. Someone who turns up at a workstation every day under a services contract is the classic basis for an assessment and a penalty for unregistered employment.
Reporting on employees
The combined return on social contributions, income tax and the military levy is filed quarterly and forgives neither a missed deadline nor a mismatch with what was actually paid. We prepare and file it, and before filing we reconcile what was charged against what actually reached people’s accounts.
Notification of a new hire has to be filed before the person starts work – a separate deadline, and the one most often missed.
When payroll is worth outsourcing
When there are more people than a director can calculate between other things. When there is turnover, and every month means a hire, a departure and a recalculation. When pay has to stay confidential and is better not discussed inside the company. And when you have already been fined for filing late – the most expensive way there is to learn that this area should be handed over.
Confidentiality
Pay data does not leave the team that keeps your books. The non-disclosure term is part of the contract and survives its end.
What the fee depends on
Mainly headcount and how complex your pay scheme is. A flat salary for everyone and piece rates with performance bonuses are very different jobs at the same headcount. Turnover matters too: constant hiring and leaving adds paperwork and recalculations.
Payroll and HR are part of the monthly accounting service, within the agreed scope – the packages with figures are on the pricing page.
Common questions
What does it cost for a single employee?
The work is minimal and the price reflects that. But the return for one employee follows the same rules and the same deadlines as the return for forty – so “one employee” does not mean “no need to bother”.
Do you handle hiring and dismissal paperwork?
Yes: we prepare the orders, the employment contracts and the applications, and file the new-hire notification within the deadline. From you we need the decision and the person’s details.
Is payroll priced separately?
No – it is part of the monthly service, within the agreed scope. What moves the figure is headcount and how complex the pay scheme is, not the presence of the area itself.
What if not everyone is properly registered?
Tell us at the first conversation. It can be put right, but what to do depends on how long it has been going on and whether the labour inspectorate has already been in touch. Anything hidden from us surfaces at the first inspection – and by then there are fewer options.
Who answers if a return goes in with an error?
Penalties and interest incurred through our fault are compensated. That is a term of the contract.
